Privacy notice

What we collect

From the letter form: your name, email address, the library or reading room you name, the commission you choose, an optional preferred date, and the message you write. If you telephone, we keep a note of the number you called from and the date we discussed, when we need it to hold a visit.

During a commission the library may share loan slips, hold requests, overdue notices, or a printout. Those papers can contain names or borrower numbers. We ask libraries to cover or omit borrower names when the drawing does not need them. Where a name remains, we treat it as personal data belonging to the library’s own notice as well as to this one.

Why we use it

Enquiry details are used to reply, to prepare a fee letter, and to arrange a visit. Commission records are used to draw the folio, note, booklet, or sitting you asked for, and to keep an accounting copy of the fee. The lawful bases we rely on are steps toward a contract, performance of that contract, and legal duties to keep accounting records. A message that is only a general question is handled on the basis of our legitimate interest in answering studios’ correspondence, which you may object to.

Retention

Enquiry letters that do not become a commission are kept for twenty-four months and then deleted. Commission files, including drafts and the fee letter, are kept for five years after the folio or note is delivered, so we can answer an accounting query. Photocopies of your slips are returned to the library with the delivery, or sooner if the registrar asks, and are not part of the five-year file unless a dispute about the drawing requires one page to be held. The cookie choice expires after one hundred and eighty days.

Your rights

Under the Personal Data Protection Act B.E. 2562 you may ask for access, correction, erasure, restriction, or a portable copy of the information we hold about you, and you may object to use based on legitimate interest. You may also complain to the Personal Data Protection Committee of Thailand. Some accounting records cannot be erased before the five-year period ends. Write to hello@notionanchor.click. We reply within thirty days.

International transfers

The studio keeps commission files in Bangkok. If you write from outside Thailand, your email crosses borders through the email service you and we use. We do not sell personal information and we do not send loan records to a third country for processing. If you ask us to post a finished folio to an address abroad, that parcel is the transfer, and only to you or to the library you name.

Sharing

We do not pass enquiry letters to other studios. A printer is not used for the folios; binding is done in the Lat Phrao room. If the law requires us to disclose a record to a Thai authority, we limit the disclosure to what the request covers.
